Referral Supervisor

Tiffany Jones earned her Professional Medical Assistant Certificate from Branford Hall Career Institute.

She is responsible for managing and training all members of the Referrals Team. Establishing benchmarks and expectations for the number of referrals completed daily, the accuracy and completeness of the referral, and that all pre-authorizations are completed. She reports weekly to Supervisors on the state of referrals with metrics including numbers requested, numbers completed types of referrals, and other data as determined for relevance. Ensures communication with provider or ordering entity on the status of each referral.


Tiffany maintains a detailed and accurate log of all appointments made. Works with refugee and interpreter Directors and team to insure that all patients requiring an interpreter will have these services available at the time of their visit. Ensures that all members of the referral team send all appropriate paperwork and records to specialist AND confirms receipt by the specialist or other agency, with documentation of name and date of the individual confirming receipt in the EMR. Establishes strict rules and guidance for checking the voicemail and addressing each one as quickly and efficiently as possible.


Tiffany ensures that all referral requests are addressed appropriately. Maintains confidentiality of all health center information. Schedule patient appointments and follow-up. Provide feedback, evaluation, and if necessary, disciplinary action to members of the Referrals Team. Establish protocols and work flows for ALL possible referral types, which will be written up as SOPS and flow charts that will be placed in binders and available for use by all team members. Work with other relevant departments to make training videos that demonstrate the step by step process to complete referrals. Continuously updates themselves on all changes to the referrals and pre-authorization process from outside agencies and disseminates this information to team members as well as providers, medical assistants and nurses as needed. Participates as a member of the Continuous Quality Improvement Team and report monthly on the status of the Referrals Department. Addresses concerns or problems communicated by outside providers and agencies regarding a referral, and when appropriate, visit the site.


She works with supervisors regarding budget and needs of the Referrals Team to function at full efficiency and capacity. Ensures compliance with H.I.PA.A. regulations. Review referral and verify patient insurance information. Consult with patient regarding scheduling appointment times as needed. Verify patient address and phone Complete medical referral, inform patient of appointment information via mail/phone. Obtain correct insurance authorization as required per insurer. Fax all pertinent referral information i.e., history and physical, labs last office visit and referral. Record referral information in patients chart and referral log.
